Policy
This policy explains what personal data Kudo Fit collects when you use our app and website, why we collect it, who we share it with, and the choices and rights you have. If you have a question at any point, email our Data Protection Officer at dpo@kudo-fit.com.
1. Who we are
The Kudo Fit mobile app and this website are operated by Lincoln Solutions FZCO, a company registered in Dubai, United Arab Emirates ("Kudo Fit", "we", "us"). On Kudo Fit, people create and join fitness events, post activities to a feed, share achievements with friends and earn points they can spend in our marketplace. Lincoln Solutions FZCO is the controller of the personal data described in this policy.

2. What we collect
Information you give us
- Account details: your name, email address or phone number, password, profile photo, and optional details such as date of birth, gender and home city.
- Events you create: titles, dates, descriptions, locations, activity type and whether the event is public or limited to a club.
- Posts and messages: activities you publish to the feed, share cards, comments, kudos, and messages you send to your crew.
- Clubs and connections: clubs you start or join, and the people you follow or add as buddies.
- Support requests: anything you tell us when you contact us.
Information collected when you train
- Activity data: duration, distance, pace, speed, reps, weights, stations and calories.
- Location: GPS location and routes while you record an outdoor activity, and your approximate location to show events near you. We only use precise location while you have allowed it in your device settings.
- Health data: heart rate and other readings from your phone or a connected wearable, if you choose to connect one.
Information collected automatically
- Device and usage data: device type, operating system, app version, language, IP address, crash reports, and how you use features of the app.
- Points activity: the points you earn, the boosts you use and the rewards you redeem.
Information from others
- Connected services: if you link a wearable or health app, we receive the data you allow it to share.
- Other members: friends may tag you in a post or add you to a share, and club admins may add you to a club event.
- Marketplace partners: confirmation that a reward you redeemed has been used.
3. How we use it
- To create and run your account and provide the app, including events, the feed, crew chat, clubs and the marketplace.
- To record your workouts and show your stats, routes, records and streaks.
- To show you events, clubs and people near you or relevant to the activities you do.
- To calculate, award and redeem points, and to prevent points being earned or redeemed unfairly.
- To send you service messages, such as event reminders, changes to events you joined and account notices.
- To send marketing messages, only where you have agreed to receive them. You can turn these off at any time.
- To keep Kudo Fit safe, including detecting fraud, spam and abuse, and enforcing our Terms of Use.
- To understand how the app is used, fix problems and improve features.
- To meet our legal obligations and respond to lawful requests.
We do not sell your personal data, and we do not use your health data for advertising.
Health and fitness data
If you connect Apple Health, Health Connect or a wearable, we only read the data types you approve, and only to record and show your workouts in Kudo Fit. We do not use this data for advertising or marketing, we do not sell it, and we do not share it with third parties except service providers that help us run Kudo Fit, or where you ask us to, for example by posting an activity. You can disconnect a health source at any time in the app or in your device settings.
4. Legal grounds
We only process your personal data where the law allows it. Depending on the purpose, we rely on:
- Contract: to provide the service you signed up for.
- Consent: for precise location, health data from connected devices, and marketing. You can withdraw consent at any time in the app or by emailing us, without affecting processing that happened before.
- Legitimate interests: to keep the service secure, prevent fraud and improve the app, where those interests are not outweighed by your rights.
- Legal obligation: where we must keep or disclose information by law.
5. What other people can see
Kudo Fit is a social app, so some information is visible to others:
- Your name, profile photo and the clubs you belong to are visible to other members.
- Public events, and posts you publish to the feed, can be seen by any member. Close group events are visible only to members of that club.
- When you join an event, the host and other people in the event can see that you joined.
- Share cards and crew messages are visible to the people you send them to. If you add a share to your story, your followers can see it.
You can change who sees your activities and routes in your privacy settings, and you can hide the start and end of your routes so your home address is not shown.
7. International transfers
Some of our service providers store or process data outside the country where you live. When we transfer personal data abroad, we use safeguards required by applicable law, such as contractual protections, so that your data keeps an appropriate level of protection.
8. How long we keep it
We keep your personal data for as long as your account is open. If you delete your account (see our account deletion page), we delete or anonymise your personal data within 90 days, except where we need to keep some of it longer to resolve disputes, prevent fraud or meet legal requirements. Posts you shared with others may remain in their copies of a conversation.
9. Security
We protect your data with measures such as encryption in transit, access controls and regular reviews of our systems. No service can be completely secure, so please use a strong, unique password. If we become aware of a breach that affects you, we will notify you and the relevant authorities as required by law.
10. Your rights
Depending on where you live, you have the right to:
- access the personal data we hold about you and get a copy of it;
- correct data that is inaccurate or incomplete;
- delete your data, or ask us to stop or limit processing it;
- object to processing based on legitimate interests;
- withdraw consent at any time;
- receive your data in a portable format;
- complain to your data protection authority.
You can delete your account in the app under Settings, or follow the steps on our account deletion page if you no longer have the app. You can also download or delete your data from your account settings, or email dpo@kudo-fit.com. We may need to confirm your identity first, and we will respond within the time required by law.
11. Children
Kudo Fit is not intended for children under 16. Members under 18 need permission from a parent or guardian. If you believe a child has given us personal data without the required permission, contact dpo@kudo-fit.com and we will delete it.
12. This website and cookies
This website does not use advertising or analytics cookies and does not ask you for personal data. The interactive demos on the page, such as joining an event or creating one, run only in your browser and nothing you enter is sent to us. The site loads fonts from Google Fonts, so your browser connects to Google, which receives your IP address as part of that request.
13. Changes to this policy
We may update this policy from time to time. We will change the date at the top of this page and, for significant changes, let you know in the app or by email before they take effect.
